Privacy Policy.

In plain English: what we collect, why, who sees it, and how to make us forget it. No dark patterns, no buried clauses, no third-party advertising.
Who we are
Imperium Housing Solutions Ltd ("Imperium", "we", "us") is the data controller for any personal information we hold about you, whether you provided it through this website or we obtained it as described under "If we contacted you first" below. We are registered in England and Wales, company number 16251614, and registered with the Information Commissioner's Office under reference ZC145565. You can verify that registration on the ICO register.
What we collect
We collect only what we need to respond to enquiries and deliver our service.
When you fill in the callback form
- Your name
- Email address
- Phone number
- Organisation name (if provided)
- Your role (e.g. property owner, council, NHS)
- Preferred callback date and time
- Any message you choose to include
Collected automatically when you visit the site
- Your IP address
- Browser type and approximate location
- Pages viewed and time spent
- Submission timestamp
We do not use third-party advertising trackers. We do not sell or share data with marketing networks. We do not collect anything from anyone we have reason to believe is under 16.
Why we collect it
To respond to your enquiry, schedule a callback, confirm your appointment, and — if you become a client — deliver the service you've engaged us for.
The lawful basis under UK GDPR is your consent (you submitted the form) and our legitimate interest in running a small business and following up with people who've asked to be contacted.
If we contacted you first
Everything above describes data you gave us. Separately, we carry out business-to-business outreach to housing providers — councils, NHS housing teams, housing associations and similar organisations — and we may have contacted you without you having approached us first. If so, this section is the one that applies to you.
What we hold. Your name, your job title, the organisation you work for, its location, and your work email address. Nothing else. We do not hold personal contact details, and we do not build profiles.
Where we got it. From Apollo.io, a commercial business-contact database. We did not obtain it from you, and we are telling you this because UK GDPR requires us to say where the information came from.
Our lawful basis. Legitimate interests — specifically, introducing our accommodation services to organisations whose published remit includes sourcing housing. We contact people only in their professional capacity, at their work address, about matters relevant to their role. We have weighed this against your interests and believe a short, relevant, easily-refused introduction is proportionate. If you disagree, tell us and we will stop.
How long we keep it. If you do not respond, we delete your details within twelve months of the last message. If you ask us to stop, we keep only the minimum needed to make sure we do not contact you again.
How to make it stop. Reply to any email from us with the word "unsubscribe" and we will remove you immediately and permanently — no reply-to-confirm, no retention period, no exceptions. You can also object at any time under Article 21 of the UK GDPR, and you have the same rights of access, correction and erasure set out under "Your rights" below. If you are unhappy with how we have handled any of this, you can complain to the Information Commissioner's Office.
Who sees your data
Your information is handled by Imperium staff and a small set of technology providers that store or transmit it on our behalf. Each is bound by their own data-protection obligations. They are:
- Microsoft — Microsoft 365, which hosts our mailbox and sends and receives our business email
- Anthropic — the AI service we use to help draft our outreach emails. Where we contacted you first, your name, job title and organisation are processed to draft that message. Your data is not used to train their models.
- Resend — transactional email delivery (privacy: resend.com/legal/privacy-policy)
- Google — Google Workspace + Google Sheets, used as our CRM
- Telegram — internal notifications to our team
- Vercel — the hosting infrastructure for this website
We do not pass your data to anyone outside this list without your explicit permission, except where required by law.
How long we keep it
Enquiry data is retained for up to 24 months from your last interaction with us, after which it is deleted or anonymised. If you go on to become a client, your data is retained for the duration of the contract and for six years afterwards in line with HMRC and FCA record-keeping expectations.
Your rights
Under UK GDPR you have the right to:
- Ask what data we hold about you (a "subject access request")
- Correct anything that is wrong
- Have it deleted ("right to be forgotten")
- Restrict how we use it
- Receive a portable copy of it
- Object to its use for any reason
- Withdraw consent at any time
To exercise any of these rights, email info@imperiumhousing.com. We will respond within one calendar month. If we contacted you first and you simply want us to stop, replying "unsubscribe" to any of our emails is quicker and takes effect immediately.
Cookies
This website currently uses only the strictly-necessary cookies required for hosting and form submission. No analytics, no advertising, no third-party tracking. If we add an analytics layer in future we will update this policy and request your consent first.
Complaints
If you're unhappy with how we've handled your data, please contact us first via the form on our home page or by reply to any email we've sent you. If you remain unsatisfied, you have the right to complain to the UK Information Commissioner's Office (ICO).
Changes to this policy
If we materially change how we handle data we will update the "last updated" date at the top of this page and, where appropriate, notify anyone affected directly.
